They message at 11 p.m., you reply at 9 a.m. and the customer is gone

It is 11:12 p.m. A woman finishes dinner, picks up her phone and messages three physiotherapy clinics near her home: "Hi, my back has been hurting for a week. Do you have anything tomorrow, and how much is a session?"
You see it at 9:00 a.m., coffee in hand. You reply quickly and kindly. She answers at 11:30: "Thanks, I've already booked somewhere else."
She did not choose the best clinic. She chose the one that replied first.
Why it happens and what it costs you
Your customers write when they have time: at night, during their lunch break, on a Sunday afternoon. Exactly when you are not around. And people who contact several businesses at once tend to go with the first one that gives them a clear answer.
The research backs this up. A Harvard Business Review study of 2,241 companies found that those responding within the first hour were about 7 times more likely to turn the contact into a sales opportunity. The same study found that 23% of the companies never responded at all.
Customers are not patient. According to a HubSpot survey, 90% of customers rate an immediate response as important or very important, and 60% define "immediate" as 10 minutes or less.
Run the numbers for your business. If ten enquiries reach you out of hours every week and you lose half of them because you reply late, by the end of the month that is around twenty people who wanted to buy from you and went elsewhere.
What we do
We build an AI agent trained on your business that replies instantly on your website chat, your email and WhatsApp, at any hour, any day of the week. It does not follow a button menu: it understands the question and answers with your prices, your opening hours and your services.
Here is how we get it running in two weeks:
- Day 1: a 20-minute call. You tell us what people ask you, what you sell and who you want passed on to you.
- Week 1: we train it with your prices, your hours and the conversations you already have.
- Week 2: we test it with you. Simulated customers throw the hard questions at it, and you sign off before it goes live.
- Every month: we fine-tune it. We review the conversations and fix whatever needs fixing.
The agent has clear rules about what it can and cannot say. If it does not know an answer, it does not make one up: it asks your team.
The customer, waiting for you in the morning
Back to the 11:12 p.m. message. With the agent, the patient gets an answer within seconds: the price of a session, tomorrow's free slots and a simple question, "Which one suits you best?" She picks a time and leaves her name and phone number.
At 9:00 a.m. you do not find a cold message from ten hours ago. You find an alert with her name, phone number, what she needs and the time she asked for. All that is left is to confirm.
The same applies to a training school that gets enrolment questions on a Saturday, an estate agency with enquiries about a flat at midnight or a garage that gets booking requests on a Sunday.
What changes in your day
- No one who writes to you goes unanswered, even when you are closed or your team is busy with another customer.
- You start the morning with a list of customers with names and phone numbers, not an inbox full of overdue messages.
- If one channel goes down, the others keep answering.
- You see every conversation in a dashboard and decide what to adjust.
And there is no lock-in: you can cancel the monthly fee with one month's notice.
Tonight someone is going to message your business. Book the demo and in 20 minutes we will show you your agent answering questions from your industry.
