You answer everyone, but don't know who's going to buy

It's eleven in the morning and you've spent twenty minutes on WhatsApp with someone asking about every service you offer. Prices, timings, whether they can pay in instalments, whether there's a discount. In the end they say they'll think about it. You never hear from them again.
Meanwhile, someone else messaged you an hour ago to book an appointment. They wanted to come in this week. By the time you reply, they've booked somewhere else.
Picture an estate agency with days like this: dozens of messages for every property listed, many from people who are just looking and a few from buyers who want a viewing right away. They all land on the same phone and they all get answered in the same order.
Why it happens
At first, a browser and a serious buyer write exactly the same thing: "Hi, how much is it?" To tell them apart you have to ask the same questions over and over, and that takes time. You can't give that time to everyone, so you reply in order of arrival or whenever you find a gap.
The cost doesn't hit all at once, but it adds up:
- Hours of your week spent on conversations that never become sales.
- Clients in a hurry who walk away because you were slow to reply.
- Nothing written down: a few days later you can't remember who asked what.
And speed matters a lot. Companies that respond within the first hour are around 7 times more likely to turn a contact into a sales opportunity, according to a study published in Harvard Business Review. If the serious buyer is waiting behind ten browsers, you get there too late.
What we do: an agent that screens enquiries for you
Our team builds an AI agent trained on your business. It handles your website chat, your email and WhatsApp, day and night. Its job is to reply to everyone instantly and pick out the people who want to buy.
- It answers the usual questions. Prices, opening hours, availability and payment options, with your information and in your tone.
- It asks the questions you would ask. What they need, by when, in which area, on what budget. Whatever your business needs to know to tell a browser from a buyer.
- It asks for contact details when there's real interest. Name and phone number, no forms.
- It alerts you with everything ready. You get the client's name, phone number and what they need, so you call with the conversation already under way.
You decide what a good client looks like for your business. In a 20-minute call you tell us what people ask, what you sell and who you want passed on to you. We use that to train the agent, then test it with simulated clients before switching it on.
If it doesn't know an answer, it doesn't make one up: it checks with your team. And if you want to follow up with people who asked but didn't buy, the CRM plan keeps every contact, their history and where they stand.
What changes day to day
You no longer reply to everyone. The agent handles the usual questions, at any hour. What reaches you are alerts about people ready to take the next step.
At the estate agency in our example, the alert would read: "Laura Ruiz wants to view the flat on Calle Mayor on Thursday afternoon", with her phone number next to it. You call, and the conversation starts where it matters.
Browsers still get an answer, straight away and well looked after. Some will come back when they're ready, and your team won't have lost the morning on them.
The agent doesn't replace your team. It takes the repetitive work off their plate so they can spend their time on people who are going to buy.
