You spend your evenings on invoices and paperwork, not your business
By Frank · Content team at KOMA AI Labs
It is 7:30 p.m. and the last customer has left. You have not. You open the laptop and your second shift begins: twenty supplier invoices in your inbox, three quotes you promised for tomorrow and a spreadsheet waiting for this week's customer details.
You copy an amount, switch windows, paste it. You look for a PDF you are sure was in the folder. You redo a quote you had already prepared for another customer, because that is quicker than finding it.
At 10 p.m. you close the laptop, tired, with the feeling that your business has not moved forward at all.
Why it eats up so much time
Small business paperwork is usually simple, but it is repetitive and scattered: invoices arriving by email, paper receipts, data that has to be copied from one program into another, documents filed wherever they happen to land. Each task takes a few minutes. Added up, they are hours every week.
Manual work also has a hidden cost: mistakes. A mistyped number, an invoice that never gets recorded, a quote that stays in draft and nobody sends.
And the more the business grows, the more paperwork there is. Hiring someone just to type in data rarely pays off, so the work lands back on your evenings.
What doing it by hand costs
There is data on one specific task: handling invoices. According to Ardent Partners' 2025 accounts payable study, processing an invoice costs $2.78 at the most automated companies versus $12.88 at the rest, 78% less (figure cited by Stampli).
Time changes too. With automation, an invoice takes 3.1 days on average to process, compared with 14.6 days by hand (Ardent Partners, figure cited by Lido).
These figures cover companies in general, but the principle holds for any business: work that does itself costs less and gets done sooner.
What we do
First we look at your process: which documents reach you, where you keep them, which programs you use and which tasks you repeat every week. Then we design custom automation connected to the tools you already use: your email, your spreadsheets, your CRM or your management software. You do not have to switch programs or learn new tools.
- Invoices and receipts: they are read, the data is extracted, recorded and filed without typing a thing.
- Quotes and documents: they are prepared from your templates with each customer's details.
- Reports: they put themselves together and reach you every week.
- Customer and meeting follow-up: it is logged without writing anything down by hand.
We give you a fixed quote after seeing your process, so from the start you know what you get, when and how much it costs.
What changes in your week
Picture a car repair garage. Parts invoices land in the inbox and show up recorded and filed in the right folder. When a customer asks for a quote, the document comes out with their name, their car and the garage's prices, ready to check and send. On Monday morning the weekly report arrives with what was invoiced and what is still pending.
You still review and decide. What disappears is the copying, pasting, searching and redoing.
Those evenings are yours again, or your customers'.
